Assistant Director, Enrolment Management

Assistant Director, Enrolment Management
The Assistant Director, Enrolment Management is an integral part of the Community Development Department and, together with the Director, Enrolment Management, is responsible for attracting and retaining a dynamic and diverse population of students and families who will thrive in our learning environment and who are aligned with our school culture. The Assistant Director, Enrolment Management works with potential students and their families to support them in all aspects of the TMS admissions process. Overall, the role is to support the development of a robust, exciting, and competitive admissions program.
As the ideal candidate, you are an engaging visionary with strong strategic, relationship and analytical skills. Your capacity and commitment to drive enrolment and re-enrolment in times of economic pressure and competition and your ability to act as a public face for the School with current and prospective families will be highly valued. You have excellent data analytical skills, the ability to make sense of data and use data to make informed strategic decisions. You have knowledge or experience with independent school life and culture. Your ability to communicate in an additional language would be an asset. This position reports to the Executive Director, Community Development and is a full time non-faculty position that will work at both our Lower and Upper Schools. Given the nature of the position, some evening and weekend work will be required to attend and support TMS events.
Education/Experience
- A bachelor’s degree in Business Administration, Marketing, Communications, Education, or a certificate or diploma in a related field
- A minimum of three to five years of experience working in Admissions in independent schools is considered an asset
Key Responsibilities and Tasks
- Communicate the school’s programs, offerings, mission and culture to prospective candidates and their families through Open Houses, Information Sessions, personal interviews, tours and written communication.
- Support the applicant experience from point of inquiry through enrolment ensuring the highest standards of client care are maintained.
- Generate, analyze and communicate statistical data pertaining to attraction, retention and enrolment to inform practice and contribute to the strategic direction of the school.
- Support the annual re-enrolment process, tracking the responses of current families and following-up as required
- Work with the Director of Strategic Communications and Marketing concerning all aspects of marketing and communications for website, social media, promotional events (open houses, trade shows) and publications.
- Manage Blackbaud K-12 for student records, re-enrolment, fee collection, wait-list management and all other activities associated with admissions for both campuses.
- Track and maintain a range of metrics (how parents find TMS, % who register after coming to open house/info session, admissions funnel etc.).
- Work closely with staff, students, alumni and parents together with the Community Development team in developing a strong sense of school community.
Skills/Competencies
- Together with the Director of Enrolment Management, conceptualize and articulate an innovative strategic direction for enrolment management for the School, and translate that strategy into successful events, student/parent experiences, and opportunities to build reputation in community
- Excellent competency using Blackbaud products (Education Edge and K-12)
- An understanding of the Montessori and International Baccalaureate programs is considered a key asset
- High degree of confidence and experience working with data and statistical analysis
- Advanced interviewing and communication skills (oral and written)
- Ability to manage competing priorities and multiple tasks while maintaining a strong attention to details and accuracy
- High level of initiative, energy and motivation, and a collaborative approach to problem solving
- Ability to exercise sound judgement and think strategically
- Ability to work collaboratively as part of a team
- Monitor current developments in independent school enrolment management practices and in particular CAIS, CIS Ontario, and EMA.

Associate Teacher

Associate Teacher
The successful candidate will be a recent university graduate looking to be mentored by experienced faculty and will help shape the growth of our School for the 2023/2024 academic year. The successful candidates will be fully involved in the life of the school, and manage a range of duties that may include teaching a course, covering classes for absent teachers and coaching our extra-curricular programs. This is a one (1) year contract. This position will commence late August 2023.
Responsibilities will include, but are not limited to:

As an experienced fundraising/development leader, you are known to set clear priorities, achieve targets and deadlines and rally the school community around a shared vision. You have experience with building a culture of giving within organizations. You bring a knowledge and understanding of independent school life and culture. Your ability to communicate in an additional language would be an asset. This position is a full time non-faculty position that will work at both our Lower and Upper Schools. Education/Experience
- University degree from a recognized post-secondary institution and at least five (5) years of senior fundraising experience, ideally in independent schools
- Certified Fundraising Executive (CFRE) designation would be an asset

Knowledge
- Theories, principles, ethics and best practices of major fundraising and related activities
- Principles and techniques for communications and public relations related to fundraising campaigns
- Policy development and gift agreement management
Leadership
- Key member of the Community Development Department along with the Executive Director, the Director of Admissions, the Assistant Director of Admissions, the Director of Strategic Marketing & Communications, the Director of Alumni and Community Relations, the Digital Marketing Content Specialist and the Community Development Coordinator.
- Advise and support the TMS and Community Development strategies as required.
- Provide direct supervision and support to the Development Specialist.
Skills/Competencies
Analyzing/Problem Solving:
- Conceptualize and articulate an innovative strategic direction for fundraising/development for the School, and translate that strategy into successful programs, initiatives, and campaign, including Annual Giving and Capital Campaigns, aligned with the TMS Campus Master Plan and Strategic Plans.
- Review and assess fundraising activities to determine if goals are being met, and where improvements are needed
- Identify potential new donors and develop engagement strategies
- Assess changes in donation levels, identify contributing factors, develop strategies, and work with stakeholders to identify needs
- Anticipate community reactions to fundraising campaigns, and develop methodologies to optimize engagement
Interpersonal/Communications:
- Develop highly effective relationships with and engage stakeholders at all levels and in all communities
- Foster a culture of giving within the school, through effective communications and engagement
- Work effectively with colleagues to support their efforts related to community development
- Communicate effectively and engagingly with senior management, staff and board members on all aspects of the program, with a wide variety of stakeholders, and with the public
Key Responsibilities and Tasks
Create, lead and manage the Development Strategy, program and plan
- Develop and implement fundraising strategies for The Titan Fund (Annual Giving), Capital Campaign, major gifts, and planned gifts to identify and steward donors
- Identify and implement best practices for ethical solicitation, follow-through and evaluation
- Establish and monitor performance metrics, including fundraising targets
- Develop appropriate and effective donor stewardship and recognition strategies and activities
- Collaborate with senior leaders to create a robust and well-researched donor prospect research program
- Oversee and manage the administration and use of the RENXT database to ensure accuracy and optimization
- Develop appropriate and effective donor education for staff, parents and board
- Research and plan for new fundraising opportunities including endowment, planned gifts, and investments
- Oversee, manage and plan advancement events that support planned giving
- Together with the Business Office, oversee all administrative aspects of giving including receipting and donor payments
- Monitor current developments in non-profit fundraising practices and in particular CAIS (Canadian Accreditation of Independent Schools), Conference of Independent Schools (CIS), CAISAP, and CCAE.
