Summer Camp Office Administrator/Office Administrator
We are excited to hire a Camp Office Administrator/Office Administrator who is willing to take on this amazing new challenge. This position reports to the Camp Director. The successful candidate will be working with a fantastic group of staff and students who are guided by our TMS Ideals of Respect, Strive, and Make Good Choices.
During the Camp Season, you will work in conjunction with the Camp Director to ensure the smooth running of Camp for both campers and staff members from mid-January until late August.
During the Camp off-season, you will work in conjunction with the Camp Director to oversee the smooth and efficient running of the camp office. Additionally, you will carry out non camp-related tasks which may include but not be limited to the following: offering Outdoor Education lessons, taking lunch supervision, assisting with Kiss ‘N Go or other tasks assigned.
Specific Responsibilities
- Support the on-line registration process, downloading, reviewing and updating our camp management software, CampBrain, with new registrations
- Provide general support to the Camp Director during hiring months, and the summer
- Organize and book interview times for camp staff applicants
- Conduct reference checks for potential staff
- Ensure accurate entry of staff applicant information forms into CampBrain
- Generate and maintain employee files including collecting and organizing required documentation and updating CampBrain database
- Maintain an inventory of office supplies and stationery and ensuring that office supplies are well stocked
- Manage/organize the administrative details of the head staff training
- Answer phones and support the office on a daily basis
- Answer parent inquiries about camp sessions, pricing and programming.
Experience and Qualifications
- Superior communication and interpersonal skills with a strong customer service orientation
- An enthusiastic, positive attitude with an ability to maintain calm in stressful situations
- Strong computer skills, including proficiency in Microsoft office and Google products
- A positive attitude and ability to take initiative with a flexibility to adapt to shifting priorities
- Strong knowledge of general office procedures
- Experience and knowledge within a summer camp environment is considered an asset
- A motivated self-starter, energetic with a positive attitude and a keen attention to detail
- A team player with a passion for all things camp
- Knowledge of camp software such as CampBrain would be a definite asset
- Experience working in a school setting is an asset.
- Previous experience in a similar camp office administrator environment is considered an asset
- The ability to work irregular hours at times
- Strong attention to detail and accuracy
- Full Driver’s Licence is required
- Ability to clear a Criminal Reference Check with the Vulnerable Sector Search & Child Intervention Check
- Current Standard First Aid, CPR and AED training

Facilities Supervisor

Facilities Supervisor
The Facilities Supervisor assists the Director, Facilities in ensuring the school facilities are maintained to the highest standard of care. The Facilities Supervisor helps the department to achieve a high level of parent and employee satisfaction, performing maintenance tasks on a timely and cost efficient basis. Work hours are from 8:00 AM to 5:00 PM. Monday through Friday, although there are also periodic on call responsibilities after school hours. While the primary work location is at the Upper School campus, this position may be required to shift between campuses in the absence of the Director.
Key Responsibilities and Tasks
- Comply with all TMS School policies, procedures and quality standards as well as safety and environmental regulations
- Ensure facilities are maintained to a high level of care and that all safety concerns are addressed
- Coordinate and schedule all maintenance, cleaning requests, and work orders
- In conjunction with Director, Facilities, supervise, train and manage the facilities team
- Ensure compliance with government health and safety standards, keeping records of all permits, licenses, and citations
- Oversee third-party vendors, i.e. landscaping, pest control, and alarm system
- Manage the fire, safety, and security systems
- Respond quickly to emergency problems and be on-call 24/7 to meet with service providers, contractors or suppliers, when necessary
- Maintain inventory of tools and supplies for custodial, maintenance, and emergency preparedness
- Work with the Director, Facilities in the management of construction, renovation, and maintenance operations and projects
- Perform a wide variety of skilled maintenance duties related to the school
- Coordinate move/relocation with IT and other related parties, as required
- Coordinate appropriate facilities set-up and technical equipment for a variety of activities, either for the School or for outside use as required.
- Maintain manual and electronic documents, files and records (inspection records, time sheet, work orders and requisitions, supplies, chemical storage, crisis management data, security controls) for the purpose of documenting activities and ensuring an up-to-date reference.
- Inspect school facilities for the purpose of ensuring that all facilities are suitable for safe operations, and maintained in an attractive and clean condition.
- Plan, schedule, and perform preventative and ongoing maintenance tasks for purpose of ensuring equipment is in proper working condition.
- Contribute to Facilities budget consultation process
- Assist with traffic control as well as event setup/take downs
- Performs grounds keeping maintenance, including snow and ice control in winter months.
Education/Experience/Qualifications
- Previous experience in a similar role is considered an asset
- Excellent verbal and interpersonal skills with contractors and staff
- Ability to work independently as well as in a team
- Self-starter with attention to detail
- Working knowledge of Audio visual equipment with ability to problem solve
- Strong knowledge of construction and renovations, small power tools, ground maintenance equipment
- Familiar with BacNet software and Building Automation Systems
- Mechanical/electrical aptitude and trouble shooting skills
- Hands-on knowledge and experience in the safe operation of a variety of tools, machinery, power equipment used in performing essential functions
- Physically able to perform a full range of duties including the ability to lift 25 lbs., work at heights above 8ft., and to stand and walk for long periods of time
- Building Environmental Systems Operator certificate program, or similar is considered an asset
- CPR and First Aid Training
- JHSC experience
- A current Vulnerable Sector Police Check
- Basic knowledge of building codes and construction and architecture terminology
- Working knowledge of Word and Excel
- Ability to withstand a variety of indoor and outdoor environmental conditions.

Receptionist/Office Assistant - Upper School

Receptionist/Office Assistant
Through switchboard, reception and general office duties, this position is responsible for providing the vital first impression of a dynamic school and assisting with the daily operations of the school. The incumbent will work at our Upper School from 10:00 am until 6:00 pm, Monday through Friday. Hours may vary during school breaks and summer.
Key Responsibilities and Tasks
- Welcome visitors to school; answer, screen and forward incoming calls; maintain rapport with students, parents, staff and the public with customer service focus
- Performs routine administrative duties such as data entry, correspondence preparation, mail, filing, ordering supplies, creating and maintaining electronic and hard copy files
- Process and prepare memos, e-mail, publications, correspondence or other administrative duties as required and assist with the daily operations of the school
- Assist students with first aid and conduct referral to School Nurse or emergency services as appropriate
- Monitor access to the school, both in person and by security systems, and act as communication focal point in case of emergencies
- Shuttle Bus Coordinator liaison for parents
- Coordinate student transportation and assist with student attendance tracking
- Provide information about the school and department responsible for providing service to visitors or callers.

Qualifications experience and attributes:
- College diploma or equivalent combination of education and experience
- Previous experience in a similar office and/or reception environment

Assistant Director, Enrolment Management
The Assistant Director, Enrolment Management is an integral part of the Community Development Department and, together with the Director, Enrolment Management, is responsible for attracting and retaining a dynamic and diverse population of students and families who will thrive in our learning environment and who are aligned with our school culture. The Assistant Director, Enrolment Management works with potential students and their families to support them in all aspects of the TMS admissions process. Overall, the role is to support the development of a robust, exciting, and competitive admissions program.
As the ideal candidate, you are an engaging visionary with strong strategic, relationship and analytical skills. Your capacity and commitment to drive enrolment and re-enrolment in times of economic pressure and competition and your ability to act as a public face for the School with current and prospective families will be highly valued. You have excellent data analytical skills, the ability to make sense of data and use data to make informed strategic decisions. You have knowledge or experience with independent school life and culture. Your ability to communicate in an additional language would be an asset. This position reports to the Executive Director, Community Development and is a full time non-faculty position that will work at both our Lower and Upper Schools. Given the nature of the position, some evening and weekend work will be required to attend and support TMS events.
Education/Experience
- A bachelor’s degree in Business Administration, Marketing, Communications, Education, or a certificate or diploma in a related field
- A minimum of three to five years of experience working in Admissions in independent schools is considered an asset
Key Responsibilities and Tasks
- Communicate the school’s programs, offerings, mission and culture to prospective candidates and their families through Open Houses, Information Sessions, personal interviews, tours and written communication.
- Support the applicant experience from point of inquiry through enrolment ensuring the highest standards of client care are maintained.
- Generate, analyze and communicate statistical data pertaining to attraction, retention and enrolment to inform practice and contribute to the strategic direction of the school.
- Support the annual re-enrolment process, tracking the responses of current families and following-up as required.
- Work with the Director of Strategic Communications and Marketing concerning all aspects of marketing and communications for website, social media, promotional events (open houses, trade shows) and publications.
- Oversee Blackbaud K-12 for student records, re-enrolment, fee collection, wait-list management and all other activities associated with admissions for both campuses.
- Track and maintain a range of metrics (how parents find TMS, % who register after coming to open house/info session, admissions funnel etc.).
- Work closely with staff, students, alumni and parents together with the Community Development team in developing a strong sense of school community.
Skills/Competencies
- Together with the Director of Enrolment Management, conceptualize and articulate an innovative strategic direction for enrolment management for the School, and translate that strategy into successful events, student/parent experiences, and opportunities to build reputation in community
- Excellent competency using Blackbaud products (Education Edge and K-12)
- An understanding of the Montessori and International Baccalaureate programs is an asset
- High degree of confidence and experience working with data and statistical analysis
- Advanced interviewing and communication skills (oral and written)
- Ability to manage competing priorities and multiple tasks while maintaining a strong attention to details and accuracy
- High level of initiative, energy and motivation, and a collaborative approach to problem solving
- Ability to exercise sound judgement and think strategically

Purpose

The successful candidate has:
- 8-10 years in marketing/communications in a leadership role
- A college/university degree in Communications, Journalism, Marketing, English or related field.
- An equivalent combination of training and directly related experience in strategic communications and implementation may be considered.
- Experience within the independent school system, education sector or charitable/non-profit sector
- Experience creating high-level strategic and annual marketing communications plans (with SMART goals)
- Ability to use Adobe Creative Cloud Suite of products for graphic design/editing/print production and design management experience
- Experience in digital marketing and website design maintenance (using a content management system)
- Expert-level writer with familiarity creating copy for a number of platforms including: advertising, public relations material/press releases, website copy, speaking notes, and editorial narrative
- Experience using Blackbaud products (including Raiser’s Edge)
- Initiative in abundance, demonstrated ability to explore innovative ideas and solutions, and capacity to work independently
- A demonstrated grasp of evolving communication channels and trends
